The "Daily Stats" Sheet is a simple exercise that helps you to spot trends, project cash flow, etc. You will have a downloadable version with formulas in place. The columns are pretty self explanatory. N/P-S stands for New Patient Scheduled and N/P-A stands for New Patient Attend. I know on average what I will receive per visit and for the entire time a person will be in therapy. I plug these numbers into the visits to project how much cash will be received. I also track percentages of attendance of both new and regular patients. A rise in no shows or cancellations many times will reflect on poor administrative follow-up. A drop in new patients is never good but if a trend develops, you probably aren't following up on your marketing tasks. You invest three minutes a day! Best attendees by percentage are pool and hand patients. The worst used to be Worker's Compensation until we made them one of the best with another handy administrative tool you will be able to download.

I use a number of other simple spreadsheets and forms. Some track new patients by type of insurance and referring physicians, but my favorite is the month end financial report. With data from your billing software (or company) you will be able to see what percentage of your practice comes from what payors, who pays the most for the amount billed and what procedures make up the most of your bill compared to the amount of cash you receive. For example, in 2001 evaluations made up 28.56% of our billing yet produced 40.02% of cash or $123 per visit. The year before it was 23.27% of the bill and 25.90% of cash or $68.98 of cash. BIG difference!! What we found was that patients and physicians were more satisfied when the patient was able to get treatment on the same day following the eval. By these numbers and increased physician and patient satisfaction, it looks like we ALL won!!
